New user registration

In order to register a new user, the specific mentioned steps should be followed:
  1. Go to ADMINISTRATION > USER MANAGEMENT and select NEW.

  2. Provide the user details. The first and the last name, the login and the display name, and the e-mail are mandatory.
  3. Save your changes. The new user is created. By default, the password is identical with the login name; however, it is strongly recommended to change the password when you first log in. In case you want to change the default password right away, select CHANGE PASSWORD in the upper area.

Although the user is created and the login details are available, the user needs the credentials (Roles) that indicate the dialogs and actions he/she is allowed to complete. Go to the ROLES tab for this step.

  1. Go to ADMINISTRATION > USER MANAGEMENT, select the user and press EDIT.


      2. In the ROLES tab, click ASSIGN ROLES. The left list indicates the available roles, not yet assigned to the user. The right list indicates the current credentials of the user.
      3 .Use > to assign credentials. Use < to remove credentials.

      4 .When done, save your changes. You can further manage the user credentials by indicating the subsidiaries the user is allowed to view and control. Go to the SUBSIDIARIES tab for this step.

Subsidiaries are affiliate companies working under the centralized supervision of the main organization. They have independent accounting systems. A user may have access and control over a single subsidiary, or over several or all subsidiaries in the system.

  1. Go to ADMINISTRATION > USER MANAGEMENT, select a user and press EDIT.
  2. In the SUBSIDIARIES tab, click ASSIGN. The list indicates all subsidiaries available for this organization.
  3. Check the relevant subsidiaries and click ASSIGN. Now, when the user will log in, access will be granted simultaneously to data belonging to all assigned subsidiaries.

You can set a default subsidiary. You can assign a different subsidiary and set it as default.
Subsidiaries can be assigned or removed as needed.

Note regarding the sales contracts / purchase contracts / fuel events / sales invoices:

  • The connected user will view only those records relevant for the subsidiary (subsidiaries) assigned to the user!
    For example, if User 1 is linked (assigned) to Subsidiary A only, the user will view only the sales contracts / purchase contracts / fuel events where Contract Holder = Subsidiary A, and the sales invoices where the Invoice Issuer = Subsidiary A. The same principle is applied if User 2 is linked to several subsidiaries: the user will only view the sales contracts / purchase contracts / fuel events / invoices of the subsidiaries defined in the Subsidiary tab.
